Privacy Policy
Visibility Radio Intelligence ("Visibility", "we", "us") operates a radio monitoring and music detection platform. This policy explains what personal data we collect, why we collect it, how long we keep it, and what rights you have under the General Data Protection Regulation (GDPR).
1. What we collect
Account data
Username and hashed password. We do not store plaintext passwords.
Passwords are hashed with bcrypt (cost factor 12).
Session data
Login timestamp, logout timestamp, session duration, IP address,
and browser user-agent string. This is stored in our database for
the retention period below.
Activity data
Pages visited within the Visibility platform (e.g. "Live Monitoring",
"Top Songs Dashboard"). We do not record keystrokes, form contents,
or audio played.
Consent records
When you accept this privacy policy, we record the timestamp, IP address,
browser user-agent, and consent version. This record is required to
demonstrate GDPR compliance.
Technical cookies
A single session cookie keeps you logged in. It expires after 8 hours
of inactivity. We do not use advertising or tracking cookies.
2. Why we collect it
- Security: Login records let us detect unauthorized access and support account recovery.
- Service delivery: Session cookies are technically necessary to keep you authenticated.
- Platform improvement: Aggregate page-visit data (not linked to individuals after 90 days) helps us understand which features are used.
- Legal compliance: GDPR requires us to record that you consented to data processing.
3. Legal basis
Processing is based on Article 6(1)(b) (performance of a contract — providing you access to the platform you signed up for) and Article 6(1)(f) (legitimate interests — security and fraud prevention). Consent records are kept under Article 6(1)(c) (legal obligation).
4. How long we keep it
- Session records: 90 days from login date.
- Activity records: 90 days from visit date.
- Consent records: 3 years (GDPR accountability requirement).
- Account data: Until the account is deleted by an administrator.
5. Who we share it with
We do not sell or share personal data with third parties for marketing purposes. Data may be disclosed to law enforcement if required by applicable law. Infrastructure is hosted within the EU / EEA.
6. Your rights under GDPR
You have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate data.
- Erasure — request deletion of your account and associated records (subject to legal retention obligations).
- Restriction — ask us to stop processing your data while a dispute is resolved.
- Portability — receive your data in a structured, machine-readable format.
- Objection — object to processing based on legitimate interests.
- Withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting prior lawful processing.
To exercise any right, email us at the address below. We will respond within 30 days as required by GDPR Article 12.
